Our privacy policy

Shirtmeister®️ greatly values your privacy. That is why we only process data we need for (improving) our services and treat the information we have collected about you and how you use our services with the utmost care. We never make your data available to third parties for commercial purposes. This privacy policy applies to the use of the website and the services of Shirtmeister®️ that are accessed. The effective date for the validity of these terms and conditions is 25/05/2023; the validity of all previous versions expires at the moment a new version is published. This privacy policy describes what data about you that we collect, what we use this data for, and with whom and under what conditions, if any, this data may be shared with third parties. We also explain to you how we store your data and how we protect your data from misuse, and what rights you have in relation to the personal data you provide to us. About data processing

The following sections explain how we process your data, where we store your data (or have it stored), which security techniques we use, and who has access to the data.

Webshop software

WordPress

Our online shop is developed with WordPress software. Personal data that you provide to us for the purpose of our services are shared with this party. WordPress has access to your data for the sole purpose of providing (technical) support: your data is not used for any other purpose. WordPress is obliged by the agreement we have with them to take appropriate security measures regarding your privacy and security. These security measures include the use of SSL encryption and a strong password policy. WordPress is a certified processor of credit card data. WordPress uses cookies to collect technical information related to your use of the software, no personal data is collected and/or stored. WordPress reserves the right to share the data it collects within its own group to further improve its provision of services. WordPress takes into account the applicable legal retention periods for (personal) data. Your data is subject to the EU/US Privacy Shield, which means it may be processed in the United States.

Web hosting

WordPress

EXAMPLE: We purchase web hosting services and e-mail services from WordPress. WordPress processes personal data on our behalf and does not use your data for its own purposes. It may, however, collect metadata about the use of the services. This does not include personal data. WordPress has taken every appropriate technical and organisational measure to prevent the loss and unauthorised use of your personal data. WordPress has a duty of confidentiality under the agreement.

E-mail and mailing lists

OFFICE365

We use the software of Microsoft Office365 for our standard business email traffic services. Microsoft takes every appropriate technical and organisational measure to prevent abuse, loss and corruption of your and our data. Office365 does not have access to our inbox and we treat all our email traffic confidentially.

Payment processors

MOLLIE

To process (part of) the payments in our online shop, we use the online payment platform of Mollie. Mollie processes your name, address and place of residence, as well as your payment details such as your bank account or credit card number. Mollie has taken every appropriate technical and organisational measure to protect your personal data. Mollie reserves the right to use your data to further improve its service and, as part of this, shares (anonymised) data with third parties. All the above safeguards regarding the protection and security of your personal data also apply to those parts of Mollie’s services for which it engages third parties. Mollie will not retain your data for longer than permitted under the legal retention limits.

Reviews

Trustpilot

We collect reviews through Trustpilot’s platform. If you leave a review on Trustpilot, you are required to provide a name and email address. Trustpilot shares this data with us, so that we can link the review to your order. 

Purpose of data processing

GENERAL PURPOSE OF PROCESSING

We use your data exclusively for the purpose of our service provision. In other words, the purpose processing your data is always directly related to the task or request you require. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you – other than at your request – at a later time, we will ask for your explicit consent. Your data will not be shared with third parties other than to fulfil accounting and other administrative obligations. All the third parties in question are bound to confidentiality by virtue of the agreement between them and us, or by an oath or a legal obligation. 

AUTOMATICALLY COLLECTED DATA

Data that our website automatically collects is processed with the sole aim of further improving our services. This data (e.g. your IP address, web browser and operating system) is not classified as personal data.

COOPERATION IN TAX AND CRIMINAL INVESTIGATIONS

In appropriate cases, Shirtmeister®️ may be obliged to share your data on the basis of a legal obligation in connection with fiscal or criminal investigations of government authorities. In such cases, we have no other choice but to share your data with the relevant authority. However, we will oppose it within the possibilities provided by law.

RETENTION PERIODS

We keep your data on file for as long as you are our client. This means that we store your customer profile until you indicate that you no longer wish to use our services. If you notify us of your wish to stop being a customer of Shirtmeister, we will take it as a ‘forget me’ request. Pursuant to applicable administrative obligations, we are obliged to retain invoices containing your (personal) data; we will therefore retain this data for the duration of the applicable term. However, our staff will no longer have access to your client profile and to documents we have created to process your order and the payment thereof.

Your rights

As a data subject, you have certain rights under applicable Dutch and European legislation in relation to the personal data that we process or is processed on our behalf. What these rights are and how you can invoke these rights is explained below. In principle, to prevent any misuse, we only send statements and copies of your data to your e-mail address you have already shared with us. In the event that you would prefer to have the information sent a different e-mail address, or by post for example, we will ask you to provide a form of ID. We keep records of all requests that have previously been finalised; in the case of a ‘forget me’ request, we register anonymised data. You will receive all transcripts and copies of data in the machine-readable data format we use in our computer systems. You have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at any time if you suspect that we are misusing your personal data in any way. Finally, you have the right to access, correct and/or delete the personal data you have provided at all times.

RIGHT OF ACCESS

You always have the right to inspect the data we process (or have processed) that relates to your person or can be traced back to you. You can send a request to this effect to our contact person on privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send a copy of all the data to the e-mail address that is known to us. This includes a list of the processors that have your data on file, with reference to the category under which it is stored.

RIGHT OF RECTIFICATION

At all times, you have the right to have the data we process (or have processed) that relates to your person or can be traced back to you amended. You can send a request to this effect to our contact person on privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send an e-mail to the address we have on file confirming that the data has been updated.

RIGHT TO RESTRICT PROCESSING

You always have the right to limit the data we process (or have processed) that relates to your person or can be traced back to you. You can send a request to this effect to our contact person on privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send an e-mail to the address we have on file, confirming that the data will no longer be processed until you lift the restriction.

RIGHT TO DATA PORTABILITY

You always have the right to have the data we process (or have processed) that relates to your person or can be traced back to you, processes by another party. You can send a request to this effect to our contact person on privacy matters. You will receive a response to your request within 30 days. If your request is granted, we will send an e-mail to the address we have on file, containing copies or transcripts of all data about you that we have processed or other processors or third parties have processed on our behalf. In such cases, we will no longer be able to continue providing our services, as we will not be able to guarantee the secure link of data files.

RIGHT TO OBJECT AND OTHER RIGHTS

In appropriate cases, you have the right to object to Shirtmeister processing your personal data or other parties processing your data on behalf of Shirtmeister®️. If you use your right to object, we will immediately stop data processing pending the resolution of your objection. If your objection is well-founded, we will transfer copies of invoices and/or copies of data that we process (or have processed) to you and will then permanently cease processing. Furthermore, you have the right not to be subjected to automated individual decision-making and profiling. We do not process your data in such a way that this right applies. If you believe it is, please contact our contact person on privacy matters.

Cookies

GOOGLE ANALYTICS

Google, based in the USA, places cookies through our website as part of its “Analytics” service. We use this service to keep track of and generate reports on how visitors use our website. This processor may be required by applicable laws and regulations to provide access to this data. We have not given Google permission to use the analytics information obtained for other Google services.

THIRD-PARTY COOKIES

In case third-party software solutions use cookies, this is mentioned in this privacy statement.

Amendments to the privacy policy

We reserve the right to change our privacy policy at any time. On this page, however, you will always find the most recent version of the policy. If the new privacy policy affects how we process data about you that has previously already been collected, we will notify you by e-mail.

What data do we collect?

We only store your name and address details. We use this information to complete your order correctly and to ensure that your ordered products reach the correct destination as quickly as possible. We do not share this data with third parties.
